Outlook signature: How to change or ADD a signature in Outlook email

Outlook is Microsoft’s excellent free email service, used by millions of consumers and businesses everyday. Outlook’s main attractions include a refreshed interface and the wealth of functions it offers. Yet a surprising number of Outlook users do not use email signatures, one of the most useful options available.

Everyone at least attempts to start a message with an appropriate greeting.

But the end of an email can sometimes feel a little neglected.

Business emails can benefit from including their company logo and contact details.

Private Outlook consumers can immediately make a message more personalised with the inclusion of a simple signature.

How to create your Outlook signature:

Begin by open a new email message, then select Signature from the Message menu.

The Message menu and the Signature button might be in two different locations, depending on the size of your Outlook window and whether you’re composing a new email message or a reply or forward.

Next choose New under Select Signature to Edit, and in the New Signature dialog box, type a name for the signature.

You can then change fonts, font colours, sizes and text alignment.

And a truly bespoke Outlook signature can be created with bullets, tables, or borders by using Microsoft Word to format your text.

You can also have different signatures for each email account.

For those who want a single signature added to all new messages by default, in the New messages drop-down box, select one of your signatures.

If you don’t want to automatically add a signature to new messages, choose None.

If you want your signature to also appear in the messages you reply to or forward, select one of your signatures in the Replies/Forwards drop-down.

How to include a logo or image to your Outlook signature:

begin by opening a new message and then select Signatures.

Next choose the signature you want to add a logo or image to in the Select Signature to Edit box.

Select the Image icon, then locate your image file, and click Insert.

The image can be resized by right-clicking the image, then choose Picture.

Select the Size tab and use the options to resize your image.

Remember, make sure to keep the Lock aspect ratio checkbox checked to keep the image in proportion.

Then, when you are happy, select OK, then select OK again to save the changes to your signature.
